Privacy policy
Shimatoworks Inc. recognises the importance of the personal information entrusted to us by our stakeholders, and regards protecting it as fundamental to our business and one of our most important management priorities.
Handling of personal information
To provide services you can trust, we have established the following basic policy, made it known throughout the company, and abide by it.
1. Definition of personal information
In this privacy policy, personal information means information about an individual user — such as name, date of birth, age, gender, address, telephone number or email address — by which that user can be identified. It also includes information that cannot identify a user on its own but can readily be cross-referenced with other information to do so.
2. Basic policy
- We comply with the Act on the Protection of Personal Information and other relevant laws and standards. We also establish, implement and maintain internal rules on the protection of personal information, and work to improve them continuously.
- We establish a management structure for protecting personal information, make our internal rules known to directors and employees, and work to ensure they are followed.
- We handle personal information within the purposes of use disclosed to you. We do not disclose or provide personal information to third parties except with your consent or where there is legitimate cause.
- We keep personal information accurate and up to date, work to prevent unauthorised access, leakage, loss and damage, and continuously improve and correct our information security.
- We respond sincerely and promptly to enquiries and requests for disclosure regarding personal information.
3. Purposes of use
When we receive personal information from you, we state the purposes of use in advance and use it within those purposes. If we need to use your personal information beyond the stated purposes, we will contact you and obtain your consent first. The purposes for which we hold personal information are as follows.
- Sending goods and materials
- Sending information about services and events
- Providing customer support and maintenance
- Responding to enquiries and consultations
- Service development, surveys and monitor programmes
- Performance of contracts
- Business discussions and meetings with you
4. Proper acquisition
We acquire personal information by lawful and fair means.
5. Provision of personal information
- We do not disclose or provide your personal information to third parties except in the following cases.
- Where you have consented
- Where required by law
- Where necessary to protect life, health or property and it is difficult to obtain your consent
- Where handling of personal information is entrusted to a contractor within the scope needed to achieve the purposes of use
- Where a business is succeeded through merger, company split, business transfer or other cause
- Notwithstanding (1) above, where we judge it appropriate for an affiliate or agent to handle the provision of services or a response to your enquiry, we may provide your address, name, telephone number and similar details to that affiliate. In that case you may request that we stop providing your personal information to them.
6. Enquiries about personal information
For enquiries about disclosure, correction or deletion of your personal information, please contact the email address below.
7. Other matters
1. Access analytics
We use Google Analytics to collect and analyse access logs for this site. Google Analytics uses cookies to collect access logs, which do not contain personally identifying information. The collected logs are managed under Google’s privacy policy.
2. Cookies and IP addresses
In addition to using cookies for analytics, this site collects the IP addresses of visitors through web server logs.
We do not treat cookies and IP addresses as personal information, since neither identifies an individual on its own. For IP addresses we use the IP anonymisation feature of Google Analytics, which masks the last octet with zero, so we never obtain your exact IP address.
3. Retention of behavioural data
Using cookies, and only to the extent that individuals are not identified, we collect behavioural data about site visitors — for example page transitions and link clicks. This data is retained for 26 months from a visitor’s last visit, and is deleted automatically if they do not return within that period.
4. Opting out of Google Analytics
If you wish to opt out of tracking by Google Analytics, you can disable data collection by its JavaScript using the browser add-on provided by Google. See below for details.
5. Google’s privacy policy
Please see the following for the privacy policy covering access logs collected by Google Analytics.
How we use the information you send from this site
Personal information you provide through the enquiry form or a stay application on this site is used to respond to your enquiry or application, to improve our services, and for customer management.
If we need to use it beyond these purposes, we will contact you first and obtain your consent.
